The type of personal information we collect
We currently collect and process the following information:
· Name and contact details (e-mail address, address, telephone number)
· Qualifications / Employment history and CV (Potential candidates)
How we get your personal information and why we collect it
Most of the personal information we process is provided to us directly by you and the following methods:
Communications, including via emails, SMS and/or text messages we send to you.
Interactions you have with us, including in person discussions, telephone conversations, and non-electronic communications.
We also receive personal information indirectly, from the following sources in the following scenarios:
· referees - if you are offered a job
· former employers - to confirm dates of employment
· educational institutions - to check your qualifications
· the DBS - if we need to obtain details of unspent criminal convictions;
· credit reference agencies - if we need to check your financial standing;
· publicly available sources such as LinkedIn and social media sites to help us understand your experience and requirements and potential suitability for live roles with clients
· clients feedback if you are in an interview process
We use the information that you have given us to :
· Discuss active job roles we are recruiting for
· understand your suitability for any active job roles or clients (Potential candidates)
· provide you with interview advice and client feedback (potential candidates)
· to communicate with you
· to get feedback from you after any interview process
· to answer questions when you get in touch
· to fulfil contractual obligations (Clients)
We may share candidate information with our clients and client contacts with candidates, where it is required by the recruitment process to do so.
Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:
(a) Your consent. Where required by applicable law. You can remove your consent at any time. You can request to do this by contacting us at info@inproe.co.uk
(f) We have a legitimate interest. (provided the processing of such information is not overridden by your own interests or your fundamental rights and freedoms). Managing our business and building and maintaining professional relationships with both candidates and clients
How we store your personal information
Your information is securely stored on a password protected computer. Printed CV’s and papers with personal data are kept in a locked metal filing cabinet
We retain your personal data for as long as we have your consent or the necessity to fulfil the purpose for which it was collected, which may be an ongoing purpose.
For example, if you are a candidate, we will keep your personal data for the duration of our business relationship with you and beyond, as we often assist candidates with job placements over many years.
The retention period for personal data varies. In determining the appropriate retention period, we take into account factors such as the purposes for processing your personal data (including any legal, regulatory, accounting, and reporting obligations), the type and amount of personal data we hold about you, and the potential risk of harm to you from unauthorised use or disclosure of your personal data.
When it is no longer necessary to retain your information, we will dispose of this information by wiping any digital files and shredding paper copies using a certified shredding company.
Your data protection rights
Under data protection law, you have rights including:
Your right of access - You have the right to ask us for copies of your personal information.
Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
These rights may be limited, for example, if complying with your request would reveal personal data about another person, where they would infringe the rights of a third party (including our rights) or if you ask us to delete information which we are required by law to keep or have compelling legitimate interests for keeping. We will inform you of any relevant exemptions we are relying on when we respond to your request.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

How to make a complaint: Please submit your complaint in writing via email to info@inproe.co.uk To help us investigate your concern as efficiently as possible, please include:
• Your full name and preferred contact details
• A clear description of your concern and which data protection right(s) you believe have been affected
• The approximate date(s) when the issue occurred
• Any relevant reference numbers, correspondence or documents
Our Complaints process: Once we receive your complaint, we will follow the five steps below. We are committed to handling all complaints promptly, fairly and confidentially.
1. Acknowledgement — within 30 days: We will acknowledge your complaint in writing within 30 days of receiving it, confirming that we have recorded it and will be investigating.
2. Requesting Further Information: If we need any additional details to fully investigate your complaint, we will contact you as soon as possible and explain what we need and why.
3. Investigation & Review: We will carry out a thorough and impartial review of your complaint. We will agree a realistic timescale with you once we have all necessary information, and we will keep you updated if there are any delays.
4. Decision & Outcome: We will communicate the outcome of our investigation to you clearly and in writing within one calendar month of receiving all the information needed (this may be extended by up to two further months for complex complaints — we will notify you if this is the case).
5. Closure or Escalation: If you are satisfied with the outcome, we will close your complaint. If you remain dissatisfied, you have the right to refer your complaint to the ICO free of charge (see below).
Escalating your complaint to the ICO: If you remain dissatisfied with our response, you have the right to lodge a complaint with the Information Commissioner’s Office (ICO) — the UK’s independent supervisory authority for data protection. This service is free of charge.
